The Bookkeeper and Business Health Analyst position is responsible for overseeing all insurance duties, credit card transactions and tracking, inventory analysis and tracking, and accounts payable. This position must possess considerable skill in data analytics, a good knowledge of excel, and a basic understanding of the company's organizational structure and accounting needs. **You will work out of our Downtown Chicago office, near the South Loop, with many modes of transportation available!
Subcontractor/Certificate of Insurance
Maintain COI files
Obtain COI files for customer requests
Liaison for decisions with regards to deficient certificates.
Provides certificates for annual review by insurance company.
Updates, periodically, the certificate expiration dates in ERP System and places copies of certificate of insurance in physical files and electronic files.
Creates organizational structure for vendor names, COIs and W-9s
Collects receipts daily/weekly for all credit cards.
Enter receipts in ERP System
Reconciles the entries to the statement.
Contacts individuals or company representative regarding missing receipts.
Maintains monthly files for all statements and the corresponding receipts.
Maintains Item Inventory (item entry, price increases/decreases) in ERP System for resale supplies.
Packing slips: creation, closing for billing, files.
Drop Shipments: entry into system, receipt of confirmation and invoice, verification that order is correctly placed and invoiced, work with appropriate company for any discrepancies, close for invoicing
Follow up on any delinquent packing slips and items ordered.
Enter invoices that we have received in our system with packing slips
Receive vendor supply invoices by US mail and email.
Analyze supply purchase invoices and process invoices for approval - attach packing slip, inquire about invoices without packing slips to appropriate Bee Line employee, place stamp with breakdown by job and amount on the invoice for processing, and submit for approval.
Contact appropriate vendors regarding any discrepancies.

Bachelor’s Degree in Finance and Accounting
3-5 years of relevant experience (this can include an internship or a side-job you’ve taken on, we want to hear about it all!)
Computer savvy – ability to work in Microsoft Office Suite, and knowledge or willingness to learn ERP System
Data entry skills and organizational skills
